BigTopa is a unified engagement platform — adaptive spaces where organizations run community, events, communications, and monetization in one place. This policy explains what information we collect, how we use it, and the choices you have, for the organizations that use BigTopa and the audiences they serve.

Scope

This policy covers bigtopa.com and the BigTopa platform, including the product lines built on it — GreekHouse, GatherAgain, AlumniHub, and any others we introduce. Each product line may publish its own policy; where it does, that policy applies to the product line and this one applies to BigTopa as the underlying platform.

Information we collect

We collect information you provide and information generated as you use the platform:

• Account & organization data — names, email addresses, roles, and organization details for administrators and team members.
• Audience & member data — contact details, group or segment membership, engagement history, event registrations, and other records an organization manages in its space.
• Payment & monetization data — transaction amounts, subscriptions, payouts, and receipts. Card and bank details are processed by our payment provider (see below); we do not store full card numbers.
• Content you create — posts, messages, chat, announcements, media, and documents within a space.
• Website & assistant interactions — inquiries you submit through forms on our sites and questions you ask our plan assistant, Fitz.
• Usage & device data — log data, device and browser information, and cookies used to operate and improve the service.

How we use information

• To provide and operate the platform — spaces, chat, community, events, communications, and monetization.
• To process payments, subscriptions, and payouts, and to send receipts.
• To enable organizations to communicate with their audiences (organizations control these communications).
• To respond to sales inquiries and recommend a plan.
• To secure the service, prevent abuse, and meet legal obligations.
• To improve features and support.

Payments & monetization

Payments are processed by Stripe and other selected providers. Their handling of payment information is governed by their own privacy terms. BigTopa receives transaction metadata (amount, status, what it was for) needed to record activity, issue receipts, calculate fees and payouts, and report to the organization.

Organizations as data controllers

When an organization uses BigTopa to manage its audience, content, and revenue, that organization is the controller of its data and BigTopa acts as a processor on its behalf. Requests to access, correct, or delete audience data should be directed to the relevant organization; we assist organizations in fulfilling those requests.

Separation between spaces

Every organization's space is separate. Product lines share the same underlying platform and infrastructure, but data is not shared between organizations or between product lines. Where a product line offers a connection between two organizations, that connection requires opt-in consent from both sides and covers only the areas each has enabled.

Fitz, our plan assistant

Fitz answers questions about BigTopa on our marketing site. We use what you type into Fitz to answer your question, recommend a plan, and improve the assistant. Don't enter sensitive personal information into Fitz. If you ask us to follow up, we use the contact details you provide to do so.

Sharing & disclosure

We do not sell personal information. We share it only with: service providers who help us operate the platform (under contract); the organization whose space the data belongs to; and authorities where required by law. BigTopa does not display third-party advertising.

Cookies

We use necessary cookies to run the service and, where permitted, analytics cookies to understand usage. You can control cookies through your browser settings.

Data retention

We retain information for as long as an organization's account is active and as needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. Organizations can request export or deletion of their data subject to legal record-keeping requirements (for example, financial records).

Your rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise these rights, contact the organization that holds your data, or reach us at privacy@bigtopa.com and we will route your request appropriately.

Security

We use administrative, technical, and physical safeguards — including encryption in transit and at rest and access controls — to protect information. No system is perfectly secure, but we work to protect your data and to notify affected parties of incidents as required by law.

Children

BigTopa is intended for organizations and adults. It is not directed to children under 13, and we do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. We will post the updated version here and revise the "last updated" date; material changes will be communicated as required.
